Business Support Executive - Lacoste

Key Purpose of the Job:
Offers the highest level of business administration and secretarial support to Regional VP – Asia Pacific for Lacoste (global footwear licensee) by prioritizing daily urgent and important tasks and ensuring business operations delivery within appropriate timescales. Acts as a communication point for both internal and external contacts.
Plans and coordinates with internal and external parties for business meetings, visits, conferences, and other ad-hoc tasks
General administrative duties such as answering telephone calls, taking messages, prioritizing messages, handling incoming and outgoing mail, and typing various correspondence
Gathers and consolidates information to prepare monthly, quarterly or ad-hoc reports or presentations
In partnership with our Travel and Service Management Officer, supports travel arrangement such as flight, hotel accommodation, visa, and related documents
Maintains databases and supporting documents of business information
Provides administrative support to visitors (e.g. oversea employees or regional business partners) during their Asian travel
In coordination with Finance, processes monthly expense and company credit card claim dealing with relevant expense forms and invoices when necessary
Assist in organizing Brand showroom including packing & unpacking of samples on a quarterly basis
Supports team activities as required
Supports ad-hoc projects and tasks as required
At least 5 years’ experience in a Personal Assistant or similar role for executives at Director level
Degree graduate in Business Administration or related disciplines
Solid knowledge in office administration
General knowledge and experience in understanding and coordinating on basic legal documentation
General knowledge and experience in local business legislative practices and requirements is desirable
Discreet with sensitive/ confidential information
High level of integrity and trustworthiness
Confident and articulate, with effective communication and interpersonal skills capable to liaise with colleagues and people of all levels and positions, internally and externally
Detail-oriented and forward thinking
Good prioritization, coordination and flexible approach (mindset and skills) to handle multiple and ad-hoc tasks with accuracy and within preferred timescale
Appetite to go for extra mile
‘Can do’ attitude
Mature and pleasant personality with diplomatic flair
Self-sufficient and comfortable working with a minimum of supervision
Ability to work both independently & as part of a team
Strong communications skills in a multi-cultural environment
PC literate: Microsoft Word, Excel, and PowerPoint
Good command of written and spoken English and Mandarin
