What's it like to be an Administrative Assistant?
An Administrative Assistant performs administrative and office support activities. Their duties may include fielding telephone calls, creating and organising documents, managing paper or electronic filing systems, maintaining spreadsheets and providing general clerical support. They can also help coordinate projects by scheduling appointments and meetings. Administrative Assistants may work in a variety of settings, including schools, hospitals, corporate sectors, government offices and legal offices.
Tasks and duties
- Managing day-to-day operations of an office.
- Maintaining and updating company databases and records.
- Organising and scheduling meetings and coordinating events as required.
- Preparing reports, presentations and correspondence.
- Assisting with the management of staff by coordinating schedules and tasks.
- Communicating internally and externally via phone or email to relay information and handle queries.
- Ordering, monitoring and maintaining office equipment and supplies.
How to become an Administrative Assistant
An Administrative Assistant performs administrative and office support activities. They may work in a variety of settings, including schools, hospitals, corporate sectors, government offices and legal offices. Having work experience in a related industry would be an advantage.
- 1.A higher diploma or an associate degree, preferably a bachelor’s degree in a related discipline.
- 2.Relevant work experience is a plus.
- 3.Good command of English and Chinese (both Cantonese and Putonghua).
- 4.Proficiency in MS Office (Word, Excel and PowerPoint), as well as Chinese word processing.
- 5.Self-motivated and independent, highly organised and has good interpersonal and communication skills.
