發送「溫馨提示」的技巧 (附例句)

上一篇文章提到一些小技巧,盡量令電郵可以引起收件人的注意。但工作上總會遇到一些人彷彿從來不回覆電郵,發給他的電郵猶如石沉大海,有時你甚至會懷疑他到底是不想回覆,還是根本沒有看過電郵。而另外有些人就總是對期限視若無睹,總是要三催四請才肯把工作完成。工作環環相扣,你等他回覆電郵,別人也在等你回覆,不能再等的話就唯有想辦法發送「溫馨提示」,催促對方盡快回應。

提醒同事回覆電郵,較常見會用到“kind reminder”或 “friendly reminder”,例如 “Kindly be reminded to submit your sales report today.”。如果已經催完又催,「溫馨提示」已發過好幾次,又或者情況嚴峻,希望對方真的盡快回覆電郵,又可以怎樣寫呢?

說之以理,指出你必須要催促他的原因︰

  • Just checking that the XXX I sent you on 23 July is okay. I have to [do something] with your feedback before I can [do something else].
  • I was wondering if you have had a chance to look at the e-mail below yet. Our customer enquired about it earlier this week.

 

設下期限,或要求對方估計何時回覆︰

  • Have you had time to look into this? Can you let me know when you will be able to do it?
  • This is with regards to the XXX email sent 23 July. We have still not received a response from you. Please send us the desired data by Monday.

 

動之以情,關心對方是否有甚麼困難或苦衷,在查詢進度之後加上一句︰

  • Please let us know if you require any assistance from our end.

 

以下例子綜合了以上各個元素,以供參考︰

I’m just emailing to check you got the XXX Report I sent you last week. I need to complete the report by Friday and I can’t do that until I receive your feedback. Can you please tell me when you’ll be able to look at it for me?
