Job Description

The successful candidate will be responsible for overseeing the operation of the Office Administration function via a team. He/she will be working closely with colleagues of all departments, management office, contractors, vendors.

Job Responsibilities

  • Ensure smooth operation of the Office Administration function including office facilities and maintenance, phone system, etc.
  • Take lead in office renovation, and make sure all deliverable fulfill the user requirement
  • Travel arrangement for staff and oversea guests, not limited to flight and accommodation 
  • Assist in coordinating business conference or meeting as required
  • Provide and arrange car service for senior executives and ensure proper care of company cars via drivers
  • Monitor service of reception, mail delivery, and cleaning
  • Prepare and monitor administration budget as well as maintain all proper administration records
  • Assist in organizing company events
  • Handle ad-hoc tasks as required

Job Requirements

  • Diploma or above in Business Administration or relevant disciplines
  • At least 5 years’ experience in an administration function with some supervisory experience, preferably in multinational companies
  • Ability to take on responsibility & work under pressure and independently
  • Service-oriented and good sense of cultural diversity
  • Strong sense of urgency
  • Good communication and organizational skills
  • Good command of both written and spoken English and Chinese
  • Intensive knowledge in travel arrangement & office renovation is a MUST.
  • Proficient in MS Office (Word and Excel)
  • Immediate available is preferred
