Job Description

POSITION SUMMARY: Support Executive Assistant in management office and one business head, work effectively by providing administrative support and project assistance.

PRIMARY RESPONSIBILITIES/ACCOUNTABILITIES OF THE JOB:

As support to Executive Assistant and management office

  • Handle mail sorting & distribution, documents scanning & copying, maintain filing system and keep stock of stationary and office supplies
  • Arrange local / international courier, keep track of delivery status, summarize monthly courier expenses and prepare payment
  • Review traveler's approval form to align with travel policy and summarize details for President's approval
  • Check and summarize direct reports' reimbursement reports for Regional President's approval
  • Update President's direct reports leave & travel record into the system
  • Manage & update company car booking
  • Coordinate and liaise with departments and countries
  • Serve as a primary point of contact for business unit or department inquiries. Answer routine questions, direct requests to appropriate partners, and work with other partners to exchange information.
  • Process invoices for approval and submit to accounts department for payment
  • As a back-up to EA during her absence & support Regional President outside normal office hours
  • Prepare & provide on-site support to meeting. Coordinate with IT and Admin for VC testing & setup
  • Assist with Regional President's procurement needs
  • Assist EA to plan and coordinate Regional President's schedule - arrange appointments, travel bookings, etc.
  • Assist EA in company activities and offsite functions/meetings when needed
  • Hotel booking for overseas guests
  • Support ad hoc projects when required

As support to business head

  • Provide administrative support to management of designated departments.
  • Prepare meeting set up and materials, including room arrangements, coordinating with IT, etc.
  • Assist to plan and coordinate business head's schedules – arranging appointments, updating diaries, keeping confidential record. 
  • Prepare Concur expense reports for department head 
  • Assist in resolving any administrative problem within departments and vendors
  • Schedule and coordinate travel arrangements for business head and team members, as appropriate.
  • Coordinate team activities and assist in company activities and offsite functions when needed.
  • Coordinate and liaison within departments and countries.
  • As needed, assist with mailing, scanning, copying, mail distribution, filling, stationary or office supplies and arranging courier service.
  • Support ad hoc projects as and when required by business head.

REQUIREMENTS:

  • BS or BA preferred
  • Minimum of 4 years’ experience working as support to senior management and their teams, with experience in organizing tasks and coordinating projects.Strong English written and verbal communication skills.
  • Mature, well-organized and approachable personality with good interpersonal skills; able to handle confidential information and sensitive matters.
  • Ability to thrive in a fast-paced, dynamic environment.
  • Strong work ethic, and motivation to learn, grow and succeed.
  • Proactive and reliable, able to use initiative to follow up and follow through the execution to ensure the desire outcome is achieved
  • Impeccable time management & project management ability; able to multi-task and prioritize workload.
  • Ability to work well in a team environment and show flexibility as needed; willingness to take on ad hoc tasks and special projects.
  • Comfort in dealing with all levels of employees.
  • Very good MS Office skills.
