Job Description

Job descriptons: 

Reception Function

  • Perform receptionist duties including answering incoming calls and handle caller's inquiries when necessary.
  • Greeting visitors in a professional manner.

 Office Support Services

  • Handle incoming and outgoing mails, parcels and courier documents.
  • Order stationary, office equipment and sundries items in adequate and timely supplies.
  • Administrative suppliers & vendors management, prepare and process purchase-orders, invoice-payment and expense reports.
  • Update telephone list and sitting floor plan on regular basis.
  • Handle maintenance of office facilities and equipment.
  • Responsible for managing the whole office area in order to maintain the high quality of service to internal and external clients.

Travel Management

  • Flight and accommodation booking for HK staff and overseas executive and guests.
  • Arrange Car pick up for senior executives and guests if needs.
  • Handle visa application and respective documentation for travellers.
  • Work with Human Resources and Office Administrative Manager on the selection of corporate hotels and travel agency and to ensure terms and conditions alignment with Travel policy.
  • Arrange other transportation such as train tickets for travellers.

Human Resources Administrative function

  • Support the Human Resources and Office Administrative Manager on the office administrative projects, monthly attendance and leave management reports.
  • Handle medical claims if necessary and applicable.
  • Support and be the ambassador of all the company functions, events and any other ad-hoc project as assigned from time to time.
  • Organize and coordinate food catering for in-house training and management meeting.
  • Provide clerical support and any other ad-hoc project as assigned by the Human Resources and Office Administrative Manager from time to time.

Job Requirement:

  • Diploma holder. Minimum 3 years’ relevant experience.
  • Proactive with positive attitude and a team player; well-organized and able to work independently & effectively.
  • Excellent communication and interpersonal skills, able to communicate well with all levels of people.
  • Good command of spoken and written English, Chinese and Mandarin.
  • Proficiency of MS office such as outlook, Word, Excel and Chinese word processing.
