Job Summary

Perform administrative and office support activities for Customer Experience Management

 

Roles and Responsibilities

Office Administration

Handle office administration matters independently

  • Retrieve incoming faxes/emails, coordinate visitors/guests for meeting, opening and distribute daily mails etc
  • Ensure office equipment and supplies such as stationery, refreshments, toiletries etc. are replenished and upkeep
  • Responsible for requisition and maintenance of office equipment including furniture and fixture, telephone systems, keys etc
  • Liaise with Human Resources for staff onboarding, contract renewal and departure issues
  • Arrangement of courier services, cleaning services and pest control
  • Place and follow up orders
  • Devise and maintain office filing system
  • Prepare management reports for staff attendance
  • Be the department’s coordinators/representatives such as IT Officer, Flu Plan, BCP, training, activities etc

 

Personal Assistant to Department Head

  • Screen and direct phone calls
  • Handle requests and queries appropriately
  • Distribute correspondence
  • Manage diary
  • Schedule meetings and appointments
  • Make travel arrangement
  • Take action points and write minutes
  • Prepare papers for meetings
  • Handle claim submission

 

Support to Working Partners

Provide clerical and administrative support across teams to ensure smooth operation

  • Arrange meeting and prepare materials for meetings
  • Distribute penalty letters
  • Prepare standard letters
  • Contribute to team effort by accomplishing related results as needed

 

Service Awards

Work with organizer, contestant and vendor for enrolment

  • Be the contact point
  • Ensure enrollment is done within deadline
  • Liaise with vendors for getting quotations
  • Arrange payment
  • Arrange meeting

 

Stakeholder Management

Build up close and cordial relationship across teams to facilitate daily operations

  • Maintain harmonious relationship
  • Be responsive to enquiries and requests
  • Balance the interests of different parties

 

Other Responsibilities

Perform other responsibilities and duties periodically assigned by superior(s) in order to meet operational and/or other requirements.

 

Job Requirements

  • At least secondary education graduate with 5 passes in HKCEE or equivalent
  • 3 years of working experience in financial institutions
  • Efficient
  • Discretion
  • Flexible
  • Self-motivated
  • Organised
  • Computer literate
  • Proactive
  • Good command of both written and spoken English and Cantonese
