Job Description

Harrow International School Hong Kong is the first international boarding and day school in Hong Kong. It is the third school in the Harrow family of schools in the Asia region and provides a British independent style education from Early Years to Year 13 with custom-built facilities in a stunning location in Hong Kong. The School combines elements of educational philosophy, practice and traditions from Harrow School in London with the international mindedness of a diverse pupil body in Hong Kong. Having opened in September 2012, the School roll is currently over 1300 and the school achieves some of the best results in Hong Kong at A-level and GCSE and pupils go on to study at some of the top universities across the world. Harrow Hong Kong is, however, about much more than academic results and our pupils excel in music, drama, sport and art as well as involving themselves in service to the local community.

Job Title: Admissions Officer

Job Purpose: Responsibility for the admissions process of Upper School applicants and to assist with Lower School recruitment and Sixth Form recruitment. 

The Admissions Officer role is a key team member and would work with other Admissions staff as a team to offer a seamless service to all applicant families and internal stakeholders

Job Description

  •  Admissions process Upper School/Lower School:
    • Taking phone calls from interested applicants and providing accurate information to prospective families
    • Answering email queries on admission to the school and how to apply
    • Assisting with any individual visits and tours from interested families and overseas pupils
    • Updating Engage (the school's admissions database) with changes through the admission process from beginning to completion of the application process and any current pupil changes requested
    • Obtaining references from pupil application forms and adding to the relevant applications.  Following up on those that have not been received to ensure we completed applications before assessments and offers
    • Scheduling and arranging pupil assessments and assisting with Lower school and Y12 assessments throughout the year
    • Setting up assessment dates for each day/year groups being tested
    • Setting up the timetable for assessments and interviews with Deputy Head (Academic) and Deputy Head (Pupil Wellbeing). Liaising with other admissions staff for cover and invigilation to be shared with the team as duties
    • Liaising with the head of Admissions regarding assessments results and providing spreadsheets for viewing and the acceptance review process
    • Administering applications for Scholarships/Bursary and Financial circumstances forms and tracking with the relevant departments for updates
    • Sending via Engage all acceptance/unsuccessful and waiting list letters in an accurate and timely manner
    • Setting up assessments for overseas candidates and liaising with the schools
  • Pupil on boarding:
    • Liaising with departments regarding new pupil’s medical forms/language options and MAC book requests and any boarding details for new pupils
    • Providing information to the Deputy Head (Academic) and Deputy Head (Pupil Wellbeing)and for annual orientation days and new to boarding intake
  • Boarding:
    • Liaising with Director of Admissions on any boarding changes and keep sheets of all changes in the office for referral
    • Helping update any changes on the Boarding sheets as needed and confirm changes with Director of Admissions and HM’s
    • Welcoming all new boarders on the first day of school and arranging check-in and badges, setting up the welcome area and meeting and greeting pupils with other admissions staff
    • Providing parents with boarding booklets and kit lists for new incoming pupils
    • Promoting boarding to all applicants as a first option when applying to the school 
  • Scholarships:
    • Sending out the successful/unsuccessful letters and assisting the Head of the Scholarship committee with applications and contacting and at times assessments/invigilation
    • Ensuring all documentation is complete and added to pupil applications
  • Participating with all admissions staff in recruitment and events such as:
    • Weekly tours
    • Open evenings/mornings and some duties may take place at the weekends or evening from time to time.
    • Schools recruitment events onsite and with third-party providers at education fairs. These may also take place after hours.
  • Other responsibilities:
    • Assisting in all other areas from time to time when needed with applications, paperwork and any data or reporting as requested
    • Assisting with overseas assessments for current pupils applying to schools abroad when needed and rotate with admissions staff for different dates to set up and invigilate.
    • Creating google documents as needed for parents to confirm attendance to any events or subject/language choices
    • Assisting with the new pupils entering Y10 and obtain IGCSE subject choices
    • Updating weekly on the tracking of admission issues and assessments to the team
    • Contacting HM’s for any changes in pupil status and confirm for changes to be made
    • Contacting families in the summer for any rollover applications for assessments in the next year and confirming if any successful waiting pool pupils would like to test for the following year
    • Liaising with new staff on staff children entering the school
      • Providing assessments/applications
      • Setting up any overseas assessments at their current schools
      • Following to ensure all staff have received the documentation promptly
    • Assisting with any other duties that may arise from time to time in the admissions team
    • Implementing safeguarding procedures at the School
    • Undertaking duties as the Head of School or her delegated representative may reasonably request.

The post holder will be expected to comply with any reasonable request by the line manager to undertake work of a similar level that is not specified in this job description. This job description may be amended at any time following discussion between the line manager and member of staff, and will be reviewed annually.

Qualifications:

  • Higher diploma or above

Skills:

  • Good command of both written and spoken English
  • Excellent organisational, administrative and IT skills
  • Good interpersonal skills with positive and courteous manner
  • Proven problem solving skills and ability to multi-task

Experience:

  • A minimum of 5 years’ office administration is required
  • experience in an office environment is required
  • Experience working in a multi-cultural environment would be an advantage

Knowledge:

  • Computer literate
  • Database and or CRM experience
