Job Description

MAIN DUTIES/RESPONSIBILITIES:

Selected candidates will be trained and work in different areas including private jet management, flight operations, client services, marketing, flight crew training and flight safety according to personal aptitude and interest.

After 6-month training, successful candidates will be promoted to officer level in the following aspects:

Safety and Compliance:

  • To ensure Company’s Safety and Quality System complies with:
  • Relevant Aviation Authority Regulations
  • The Company Operations Manual
  • The Company's corporate objective
  • The International Standard for Business Aircraft Operations (IS-BAO)
  • To implement Safety Policies and promote safety culture within Company
  • To make recommendations to senior management on matters pertaining to safety
  • To monitor the response and measuring the results of safety initiatives
  • Any tasks as allocated to the position by the MD

Flight Operations:

  • Administration and management of all Ground Operations, including, but not limited to:
  • Consolidating various aircraft invoices
  • Flight Planning
  • Post Flight administration validation and consolidation
  • Arranging ground support, flight permits, handling and crew reservations when required
  • Ensuring flight and duty times are planned and conducted within the limits of the FTL scheme
  • Ensuring all flight related negotiations with the relevant Civil Aviation Authorities and Ground
  • Handling agents are conducted in a timely and expeditious manner
  • Being aware of the responsibilities of the position as stated in the Safety System
  • Reporting incidents or hazards observed, raised or reported in post flight reports
  • Identify ways to integrate process improvement and efficiencies for various job functions
  • Any tasks as allocated to the position by the MD

Crew Training:

  • Managing initial and ongoing staff training for the Flight Operations Centre;
  • Managing type-rated training and other training required by the Company for company crew by projecting an optimized and effective crew scheduling process.
  • Managing all new hires data entry record and Flight Crew records in FOS
  • Monitoring and handling legally required documentation, electronic records and training certifications for flight and cabin crew to ensure availability of updated personal information and compliance with Company procedures
  • Monitoring the expiry dates of a wide range of legally required documents (licenses, certificates, qualifications, etc) and timely communicate to staff and support follow-up actions

Aircraft Management and Client Services:

  • Responding to client instantly at all stage to manage ad-hoc trip requests and other enquiries
  • Building and maintaining strong relationship with client representative independently
  • Planning and managing aircrew work schedule and leave arrangement
  • Arranging ground support and aircrew reservations
  • Consolidating various aircraft invoices
  • Preparing reports, budget forecast and other relevant materials for client and internal review

SKILLS & EXPERIENCE

Qualifications:  

  • Degree or above preferable
  • Aerodynamic engineering or law-related discipline is a benefit

Experience:   

  • Experience as Secretary/Personal Assistant preferable
  • Experience in Aviation Industry is a benefit

Skills:

  • Able to work under high pressure and ad-hoc schedule
  • Excellent communication skills
  • Good command of English and Mandarin, written and spoken
  • Solid IT and librarian knowledge
  • Self-motivated with great initiative, well organized, detail-minded and flexible
  • Good team player with excellent communication skills, competent in crisis management, planning and problem solving
