Job Description

 

COLLABORATE: your responsibilities 

  • Provide full spectrum of business administrative and secretarial support to the Managing Director
  • Assist the Managing Director in all personal matters and business activities
  • Manage daily calendar and arrange meetings and appointments
  • Proof-read and correct documents and prepare announcements
  • Handle holiday requests and prepare monthly holiday/ trip summary of all direct reports of the Managing Director
  • Coordinate events and meetings with internal / external parties and handle follow up works
  • Liaise with IT support and admin support to set up meetings
  • Prepare meeting agenda, minutes, presentation materials, business reports and proposals
  • Handle correspondence and assignments independently and professionally in a tight schedule
  • Handle travel, accommodation and visa arrangement matters
  • Handle confidential information, maintain filing system and ensure security of records, correspondences and documents
  • Other ad hoc duties assigned 

 

CONTRIBUTE: your qualifications

 

  • Bachelor Degree holder with professional secretarial training
  • Minimum 8 years or above relevant experience in serving top management of sizable company; experience in serving expatriates is a must
  • Experience in freight forwarding in industry is an advantage
  • Excellent in English is a must (speaking, reading and writing)
  • Proficient in Mandarin and Cantonese
  • Mature, good attitude, presentable and fast learner
  • Detail-minded, multi-tasking, proactive and well-organized
  • Independent, efficient, self-motivated with strong sense of responsibility
  • Diligent, honest, ethical plus a high level of integrity
  • Good analytical skills and organizing skills with ability to cope with changes
  • Good problem solving, interpersonal and communication skills
  • Ability to work under pressure, in a fast-paced work environment and to deadlines
  • Proficiency in MS Word and PowerPoint
