Job Description

DUTIES AND RESPONSIBILITIES:

Reception Duties

Responsible for all matters relating to the proper functioning of the PABX and Reception duties:

  • Attend to all incoming calls and visitors
  • Record and issue passes to vendors
  • Management of meeting rooms reservation
  • Responsible for all incoming registered mail and courier services
  • Provide support for Mail Room duties as and when required

 

Travel Desk

  • Provide support to Corporate Business Travel Desk – manages the travel arrangement of the branch, assist in all travel/hotel related matters : travel insurance, liaising with airlines on best corporate fares, review and negotiate with hotels for rates,

 

Administration Duties

  • Responsible for uploading of FMD information on the Intranet (Branch Circulars & Policies, Preferred hotels lists for APR, assigning of Branch Circulars and APR Policies numbers and all updates etc).
  • Sourcing and Purchase of non IT fixed assets and general services, corporate gifts included
  • Responsible for input and confirmation of invoices to AP System and allocation of costs
  • Provide support for sourcing and purchase of non IT fixed assets and general services, corporate gifts included
  • Provide support in all publications, subscription renewals and listing matters
  • Assist in the update of fixed assets inventory
  • Provide back-up support to RMA set-up.

 

Premises

  • Provides back-up support in the issuance of premises access cards – programming of new cards and deletion; printing of monthly reports
  • Provides back-up support in archiving-related issues at Crown Management
  • Provides back-up support in premises upkeep and maintenance issues

AND

  • Other duties as and when assigned by Head of Facility Management
  • Covers duties of Team Members who are on leave

 REQUIREMENTS:

  • Diploma in Commercial Studies or its equivalent
  • Relevant experience in office administration/reception duties
  • Experience in Travel Management would be an advantage
  • Good knowledge of MS applications (MS word, Excel and PowerPoint)
  • Good communications skills (written and spoken)
  • Willingness to upgrade and further develop skills set
  • Willingness to take on more responsibilities
  • Ability to work as part of Team
