Job Title                     Corporate Services VP

Company                   An European Corporate Investment Bank

Location:                    Hong Kong



General Services:

  • Manage and negotiate with Corporate Travel Agency, Air-lines Companies, Corporate hotels and coordinate with Global Travel based in the Head Office and prepare quarterly dashboards
  • Coordinate with HR, internal Users and relocation vendors and provide oversight on staff/family inbound/outbound relocation and source interim serviced apartments
  • Manage and coordinate with Head office and local offices on Corporate insurance, including premises, Directors and Bonds
  • Manage mailroom and statement printing process, including a team of three Mailroom staff and one Driver based in the HK office
  • Manage leased services for corporate car and driver for the CEO and all vehicular related expenses/matters
  • Work with the Office Building Management Office on all staff parking allocation and procedures
  • Manage corporate card and club membership matters
  • Fully responsible for petty cash usage/reimbursements
  • Office Fixed Asset Management

Real Estate/Premises:

  • Update and coordinate with other locations on office floor plans based on new joiner/leavers’ information and requirements
  • Prepare real estate and premises capacity data dashboard to Management
  • Assist with the office moves/changes, as necessary
  • Prepare and coordinate with Finance on issuance of monthly internal invoice of cost allocations based on occupied space and Service Level Agreements for each business entities
  • Coordinate with Business Lines on new joiner’s seating arrangements

Facilities Management:

  • Work with the mailroom staff to coordinate with the Facilities Team on various premises related maintenance and project works
  • Be part of the after-hours rotation CRES hotline coverage, as required
  • Take on ad-hoc requests as necessary
  • Take on Fire Marshal responsibilities



  • Bachelor degree holder is preferred
  • Over 8 years of proven abilities in office administrative functions preferably in banking or financial institutions
  • Familiar with Corporate Travel functions
  • Experienced in vendor and contract management with strong negotiations skills
  • Detailed oriented and possesses proficient analytical and problem-solving abilities
  • Strong interpersonal skills to work with internal Business Line Managers and the Departmental Travel arrangers throughout the region
  • Able to multi-task, work independently and in a team environment
  • Competent in the use of Microsoft Office suite and proficient in Excel
  • Good command of written and spoken English is necessary; must be comfortable in communicating with expatriates
