Job Description

Our client, a Hong Kong's cultural authority is now looking for an Development Operations Assistant to provide the supports in the area of gift processing and donor services. This position is responsible for the timely and accurate entry of accounts’ information, including but not limited to biographical details, relationship information, historical major gifts data and public campaign donations into the Salesforce Customer Relationship Management Database (CRM), paired with the issuing of official tax receipts and communications correspondence.

You will be responsible for:

  • supporting the Development Department with all the stewardship activities including entry of donor and gift revenue information into the Online System in a timely and accurate manner;
  • processing donation payments in any forms when necessary;
  • coordinating the merging, issuing, filing and mailing payment notifications, gift acknowledgement letters, donation receipts and other donor communications in prints and electronically;
  • maintaining data integrity by updating information about gift reconciliation, approval from management and donors’ contacts;
  • conducting marketing research for benchmarking, following up agreements and data collections with internal departments and external vendors;
  • coordinating presentation materials, images and graphics, requirement specifications and procurement process to facilitate the rollout of capital campaign; and
  • assisting with other administrative duties as required but not limited to answering enquiries, drafting correspondence, arranging meetings, and taking minutes when necessary.

You should:

  • possess a recognised associate degree or above in arts, cultural studies, tourism or business administration;
  • at least 1 year of experience in in an office environment or in the customer services industry is preferred;
  • have the proficiency with MS Office (Excel, Word, Outlook, Powerpoint and Visio);
  • be able to work independently and cooperatively with others in a fast-paced environment;
  • be highly-organised and detailed-oriented;
  • possess strong communication or interpersonal skills;
  • be able to meet deadline and multi-tasking; and
  • have excellent oral and written communication skills in English and Chinese.
