Job Description

Reporting to the Senior Document Controller, the appointee will be responsible for the following duties:

 

Key responsibilities:

  • Assist Senior Document Controller in developing Document Control Procedures and ensure that the Document Control Procedure requirements are complied;
  • Register and maintain project documents in the approved Document Control system;
  • Perform all document control activities for the HKOLNG Project including registration, superseding and revision control, allocation of numbers, tracking, filing, retrieval, scanning, photocopying, disposal and transmission of engineering documentation;
  • Train and coordinate Project Team members in handling documentation in accordance with overall Information Management Plan and Document Control Procedures
  • Provide oversight, guidance and training to the Project Team and Contractors’ Document Control Centers to ensure the reliability and maintenance of the document control systems and communication link
  • Distribute project documents to project team for review and comment;
  • Assist Project Administrative Staff in handling non-technical documentation and filing within DDM
  • Manage central hard copy and electronic file storage
  • Provide Help Desk function of the relevant document control systems and practices
  • Ensure contractor documentation deliverables meet HKOLNG project requirements;
  • Provide secretarial support and perform reception duties and other ad hoc duties as assigned

 

Requirements:

  • Minimum 3 years Document Control Experience, Oil and Gas Industry experience preferred
  • Experience in Electronic Document Management Systems
  • Fluent in both written and spoken English.  The ability to speak Cantonese / Mandarin would be an advantage.
  • Strong communication and problem solving skills
  • Strong inter-personnel skills with ability to work with multiple stakeholders
  • Well developed document management skills
