Job Description

The Executive Assistant will be report to the senior executive and his family for independently managing all secretarial and administrative duties. Around half of the time will be spent in handling personal/family matters.

 

Responsibilities:

lComplete a broad variety of administrative tasks for the senior executive including:

   - Managing an extremely active calendar of appointments

   - Completing expense reports

   - Composing and preparing correspondence

lArranging complex and detailed travel plans, itineraries, and agendas; compiling documents for travel-related  meetings

lAct as a gatekeeper for the senior executive and communicate directly on behalf of the senior executive external parties as well as internal departments

lDrafting letters, correspondence, and other tasks independently

lPrioritize conflicting needs, handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures

lHandling the senior executive’s personal and family matters including schooling, event planning, etc as well  as organizing and assisting in hiring and management of domestic helpers and drivers, including visa applications etc

lAssist in any ad hoc assignments as required

 

Requirements:

lStrong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with  excellent attention to detail

lVery strong interpersonal skills and the ability to build relationships with internal as well as external parties

lExpert level written and verbal communication skills in English and Cantonese; knowledge of Putonghua is an  advantage

lDemonstrate proactive approaches to problem-solving with strong decision-making capability

lHigh degree of emotional maturity

lHighly resourceful team-player, with the ability to also be extremely effective independently

lProven ability to handle confidential information with discretion

lDemonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment

lForward looking thinker, who actively seeks opportunities and proposes solutions

 

Education and Experience Requirements:

lDegree/Diploma in administration or executive secretarial studies

lStrong work tenure: 5 to 10 years of experience supporting Executive level managers in handling work and personal/family matters

lExperience and interest in internal and external communications, partnership development

lProficient in Mircosoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat
