Job Description

POSITION SUMMARY:

To provide administrative and clerical support to the Vice President.  Responsible for all systems applications and filing of processes required to complete the department’s objectives.

 

PRIMARY RESPONSIBILITIES:

  • Perform administrative functions to the Vice President, make discretionary decisions and interface with all appropriate internal departments
  • Maintain a comprehensive calendar and files for Vice President, ensure required reports are properly prepared and submitted on a timely basis
  • Organize appointment schedules and arrangement of business meetings
  • Prepare and facilitate travel arrangements for the Vice President
  • Organize data on excel
  • Assist in formatting and creation of PowerPoint presentations
  • Familiarity with all IT processes, applications and usage
  • Assist team members in project organization, support documents preparation or gifts organization
  • Assist in answering correspondence, compose memoranda and letters
  • Maintain confidentiality of sensitive materials and its filing
  • Apply for POs, manage all system required processes for the team’s projects
  • Manage all department paperwork and items: collate, screen, distribute, file
  • Meet the attendance guidelines of the job and adhere to departmental and company policies
  • Coordinate with the other departments’ Executive Assistants and to work as a team
  • Perform other related duties as assigned

QUALIFICATIONS:

Experience

  • Minimum five years working experience
  • Minimum three years computer experience, with Microsoft Word, Excel, PowerPoint & Visio
  • Minimum three years executive secretarial experience preferred

Education

  • University graduate
  • Fluent in Cantonese and English
