Job Description

POSITION SUMMARY:

To provide secretarial and project administrative support to the Executive Vice President & Chief Human Resources / Corporate Social Responsibility Officer. 

PRIMARY RESPONSIBILITIES:

  • Perform administrative functions to the Executive Vice President, make discretionary decisions and interface with all appropriate internal departments.
  • Maintain a comprehensive calendar and files for Executive Vice President, ensure required reports are properly prepared and submitted on a timely basis.
  • Organize appointment schedules and arrangement of business meetings.
  • Prepare and facilitate travel arrangements.
  • Organize data on excel
  • Assist in formatting and creation of PowerPoint presentations
  • Familiarity with all IT processes, applications and usage
  • Assist in answering correspondence, compose memoranda and letters
  • Maintain confidentiality of sensitive materials and its filing
  • Manage all department paperwork and items as required: collate, screen, distribute, file
  • Meet the attendance guidelines of the job and adhere to departmental and company policies
  • Coordinate with the other departments’ Executive Assistants and to work as a team
  • Perform other related duties as assigned

QUALIFICATIONS:

Experience

  • Minimum ten years working experience
  • Minimum five years computer experience, with Microsoft Word, Excel, PowerPoint & Visio
  • Minimum five years executive secretarial experience

Education

  • University graduate
  • Fluent in Cantonese and English
