Job Description

Facilities/Administrative Officer

An opening exists for an enthusiastic and professional Facilities/Administrative Officer looking for an opportunity to join an award winning Wealth Management and Investment Bank team located in Central. In this role, you will assist the Premises Manager and Group Corporate Services team in maintenance and operations, vendor oversight, purchasing of equipment & supplies, re-stack and churns work, and occupancy services.


Duties and responsibilities:

  • Maintain the highest standards in delivery to client expectations
  • Provide administrative, financial and reporting support to the Group Corporate Services team
  • Provide scheduled reporting data for JLL and our client
  • Prepare and send work orders to building trades, management and supervision of vendors, liaising with building management and security, coordination and management of key vendor staff whilst they are onsite
  • Conduct and report onsite inspections, escalating any issues as appropriate
  • Maintain premises in neat and good working condition at all times
  • Assist in the organisation and scheduling of planned maintenance works
  • Assist in financial process to ensure requirements are completed in a timely and accurate manner
  • Maintain approvals register, ensuring all works have appropriate financial authorisation
  • Raise and issue monthly invoices to the client and sub vendors
  • Assist in carrying out safety procedures when needed
  • Assist in the implementation and management of property risk management program
  • Execute established escalation procedures and incident reporting procedures
  • Ensure regular follow up to ensure punctual and satisfactory completion of all works by internal and external parties


  • Experience working in facilities management or Corporate Services role
  • At least 3 years of relevant experience in Facilities Management/Property Management field
  • Diploma / Degree in Facilities Management / Property Management or relevant discipline is preferred
  • Strong reporting and administration background
  • Strong customer service background
  • Experience in meeting external and internal client, landlord, consultant, contractor and supplier requirements to service level agreements
  • Proficiency in both written and spoken English with good presentation and communication skills
  • Background check with no criminal history
