Job Description

As part of Gravitas ongoing expansion, we are hiring a new Office Administrator for our Hong Kong office. This opportunity comes with a clear career path and an award-winning training program to enhance and equip you with the tools to excel in this position.

 

What will you be doing?

 

Administration

  • Providing administrative support on HR processes
  • Supporting the Finance team with administrative tasks
  • Supporting the Management Team with the planning, organisation and management of events across the business to include but not limited to networking events, charity events, recruitment fairs, incentive trips, office sales days, lunch clubs and team building events
  • Undertake one-off projects and research as the needs of the business dictates
  • Assisting with general reception duties, including meeting and greeting all visitors, diverting calls accordingly and taking accurate messages and collecting and distributing office post, where required
  • Assisting with printing and distributing documentation including the billing leagues, training material, marketing material and internal documentation, where required

 

Facilities

  • Managing basic IT Support for the Hong Kong office, ensuring users are provided with assistance on telephone systems, computers and printers and liaising with external IT Support team as required
  • Monitoring appropriate Health and Safety policies and procedures in line with company requirement
  • Completing weekly audits within the Hong Kong office to ensure that office facilities and equipment are maintained
  • Reviewing office expenditure to ensure best rates for all products and services, as well as overseeing petty cash for the office
  • Negotiating and managing service agreements and establishing a screening process for 3rd party suppliers
  • Maintaining and developing relationships with building management, security and cleaning company and ensuring service level agreements are met
  • Reviewing and evolving existing office management processes, priorities, effectiveness and efficiency; identifying opportunities for continuous improvement
  • Supporting the transition during office moves and refurbishments, as required by the business

 

What will you have?

  • Fluent English (necessary)
  • Working knowledge of Microsoft Office
  • Prior experience of some of the aforementioned duties.
