Job Description

Job Summary:

You will be responsible for ensuring proper flow of office procedures and carrying out common office duties, by maintaining a positive and friendly company image by acting as the first line of contact to visitors, customers, and vendors in person, online, and via telephone.

Key Responsibilities: 

- Manage reception area and look after visitors;
- Answer phone calls and transfer them as necessary;
- Manage posts and deliveries;
- Create agendas and take meeting notes;
- Handle expenses and billing cycles;
- Maintain accurate records of employees' attendance;
- Maintain stock lists and order office supplies as needed;
- Liaise with suppliers, vendors, building management office, insurance companies etc. and communicate with the management team if decisions need to be made;
- Assist in planning and arranging events;
- Proactively interact with directors and staff and carry out ad hoc requests from time to time


- Prior office administrator / reception experience preferred;
- Strong attention to details;
- Ability to multitask and work without supervision;
- Excellent time management skills;
- Exceptional communication skills;
- Strong record keeping skills and ability to handle confidential information;
- Proficiency with Microsoft Office Programs;
- Proficiency in Mandarin, Cantonese and English preferred
