Job Description
Our client is an international and well-respected professional services firm.  They are looking for an experienced Office Manager and Executive Assistant to manage its team of secretaries and support staff.  The successful candidate will be personable, self-motivated and confident in their ability to manage the everyday running of a busy office environment.
  • Support the office with all administration requirements and ensure it is run efficiently and smoothly
  • Manage extensive and complex calendar, including meeting planning, scheduling, and preparation of meeting logistics for senior executives 
  • Provide full range of administrative and operations support including office renovation, procurement, facilities management and equipment maintenance
  • Lead and manage the administrative team
  • Facilitate positive relations with the administrative team members and, between the administrative team and senior executives 
  • Closely liaise and coordinate with internal and external parties to ensure smooth business operations
  • Organise the office layout and maintaining supplies of stationery, equipment and any additional needs
  • Negotiate and reviewing contracts with all vendors providing goods and services to the office
  • Manage office lease, search and renovation projects
  • Provide input in terms of efficiency of service and suggest improvements where required
  • Maintain the condition of the office and arranging for necessary repairs
  • Arrange regular testing for electrical equipment and safety devices
  • Organise office events
  • Prepare expenses reimbursement
  • Preferably a Degree holder who is keen to develop their skills both personally and professionally
  • Previous experience of at least 8 to 10 years working at this level in a multinational company, preferably in a professional services environment with at least three years’ management of a team of 5+ members
  • A high level of emotional maturity is essential for this role and superb attention to detail, too, with a flexible and proactive approach
  • Excellent command of both written and spoken English, Cantonese, and Mandarin
  • Motivated, proactive and autonomous with the flexibility to adapt to ever-changing priorities and responsibilities
  • Superb interpersonal skills to deal with people at all levels
  • Ability to prioritize workload and manage deadlines
