Job Description

My client, an uprising fashion brand is setting up an office in Hong Kong. We are looking for an energetic and experienced Office Manager / EA to join the growing team!

Job Purpose:

The Office Manager & Executive Assistant acts as the office manager for a business unit office consisting of 10 people and provides administrative support to the President, Greater China. They will be part of a new, exciting, and entrepreneurial team tasked with aggressively growing our brand awareness, revenue, and profit.

Key Responsibilities:

  • Organizing company events and/or conferences
  • Managing office budgets
  • Liaising with staff, suppliers and clients
  • Implementing and maintaining procedures/office administrative systems
  • Ensuring health and safety policies are in place
  • Provide direct administrative and key support to the President including calendar management, drafting correspondence and preparing travel arrangements
  • Arrange travel and hotel reservations (international and domestic) to ensure time and cost effectiveness
  • Manage special projects on behalf of the President
  • Coordinate logistics of meetings, seminars, workshops, special projects, and events
  • Review documents, reports, and correspondence prepared for executive signatures for format, content, grammar, spelling and make edits as necessary
  • Receive, screen, refer and redirect all inbound telephone calls, e-mails, and visitors as required
  • Receive incoming mail, taking notice of required actions and due dates to ensure timeliness of response and required actions
  • Complete expense reports, pay invoices, and other related duties
  • Prepare and review presentations
  • Present a positive and professional image to all visitors, suppliers, inquiries, and other persons
  • Plan team events and other fun activities to foster team spirit
  • Experience, Education and Designations: e Post-Secondary Diploma in Business Administration or relevant discipline, preferred e 5 years' experience in a Senior Administrative role
  • Experience working in Luxury Goods, Fashion, Apparel, or Outerwear an asset
  • Proficient with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)

 

Knowledge, Skills and Attributes:

  • Fluent in Cantonese and at least business-level proficiency in English; Mandarin is an asset Highly organized with the ability to prioritize and to manage multiple tasks with a sense of urgency Experience managing and navigating through change, taking initiative to work through the unknown, and leveraging your skills to ‘figure things out’
  • Keen attention to detail and a “right first time” approach
  • Ability to maintain privacy and confidential information is critical
  • Advanced written/verbal communication and diplomacy skills
  • Ability to organize moderate amounts of business information and develop it into cohesive, professional reports and presentations
  • Strong independent judgment and a high degree of interpersonal effectiveness to be able to deal with stakeholders across various levels both internally and externally
  • Demonstrated ability to work in a team environment keeping others informed and anticipating needs is essential
  • Strong scheduling and project management skills
  • Willing to work flexible hours to meet challenging and changing deadlines
  • Polished, professional approach and the ability to establish and maintain strong interpersonal relationships is necessary
  • Office Environment Business travel as required
