  • Enable the Executive Director to have the appropriate information and support for the team members to deliver their services
  • Providing secretarial support and ensure the smooth running of day to day activities 
  • Arranging client meetings, travel arrangements and diary organization 
  • Proactively setting itineraries and programmes for business trips to maximize effectiveness of visits 
  • Preparing various bid documents and PowerPoint presentations 
  • Act as a client interface and keeping up to date records of client contacts 
  • Processing and reconciling expenses and timesheets 
  • Maintaining effective filing system 
  • Support Executive Director on personal / family matters when necessary

Job Requirements

  • Degree holder in administrative or related discipline
  • At least 3 years personal / executive assistance or management experience (preferably from a sizable MNCs) 
  • Attention to detail and a proactive mindset (solutions’ focus). 
  • Be able to treat sensitive and confidential information with the utmost discretion – trustworthiness (given this role) is an essential attribute. 
  • Strong communication and inter-personal skills (willing to collaborate with the other personal assistants to other senior managements). 
  • Ability to work independently with minimal supervision. 
  • Outgoing personality and good team player
  • Good command in English, Cantonese and Mandarin both written and spoken.
  • Excellent command of Microsoft Office suite of packages including Word, Excel and PowerPoint presentations
