Job Description


  • Reports to Head of Human Resource, Administration and Communications
  • Report duty on time every morning and after lunch
  • Maintain presentable appearance at all times, which include wearing proper business attire and make up
  • Maintain a friendly and approachable attitude at all times, e.g. smile, be helpful, be attentive
  • Operate telephone switchboard to answer, screen and forward calls, providing information and taking accurate messages
  • Smile and greet visitors and guests, determine nature and purpose of visit, handle inquiries and/or escort them to specific destinations
  • Adhere to the policy of non-disclosure of staff name, email address & telephone no. to callers and unsolicited visitors
  • Receive incoming mails, documents or goods, acknowledge receipt and distribute
  • Coordinate and manage courier service
  • Prepare courier expenses report on monthly basis
  • Provide general administrative support, e.g. stationery order placement, redirecting emails, fax distribution, phone list updating, make maintenance service calls to vendors for office machines, etc.
  • Provide general HR administrative support, e.g.initiate interview procedure for job applicante
  • General filing and assistance work as assigned by Supervisor
  • Duty all Saturdays
  • Perform other ad hoc projects/ assignments when required


  • Form 7 or above
  • At least 3 years' experience in customer service or office administration
  • High EQ
  • Customer oriented
  • Good communication, interpersonal and problem-solving skills
  • Pleasant personality, presentable, helpful with good telephone manner
  • Self-motivated, well-organized, efficient and able to work independently and under pressure
  • Proficient in MS Office
  • Good spoken and written English, Putonghua and Cantonese/ Chinese
