Job Description

Job Accountabilities

  • To provide general secretarial support to assist department Directors in managing business operations such as schedule daily or weekly appointments, screen fashion newspapers etc.
  • To perform general office support work, including filing, route fax messages and mail to the proper divisions, etc.
  • To handle visa applications and work permit renewal for department Directors.
  • To handle travel arrangements for department Directors and visitors, preparing trip folders, itineraries, welcome packs and other materials as required.
  • To prepare visitors’ list calendar to senior executives.
  • To prepare Company letters to be sent to vendors and follow up related matters.
  • To coordinate meetings, events and presentations and prepare staff meeting’s agenda, minutes, presentation materials, reports and other documents.
  • To maintain the department’s filing system on client’s documents.
  • Prepare business analysis and management reports.
  • To keep track of attendance records of the department, including business trip schedules and annual leave records.
  • To coordinate onboarding procedures, such as computer system setup & seating arrangement, for new associates to the department.
  • To perform additional duties as required to meet Company’s objectives.

Job Requirements

  • Formal secretarial training
  • Minimum 5 years’ working experience in secretarial and administrative support to senior executives
  • Good customer service skills
  • Good command in both written and spoken English and Chinese, fluent in Mandarin will be an advantage.
  • Good telephone and interpersonal skills.
  • Good PC knowledge in MS Word, Excel, Power Point, & other PC applications
  • Proactive, hard-working, sensible, deadline conscious, adaptive, responsible, well-organized and attention to details characteristics.
  • Immediate available will be an advantage.
