Job Description

Our client, a Hong Kong's cultural authority is now looking for a Visitor Services Officer to support their Museum Operations department. 

You will be responsible for:

  • Pepresenting Visitor Services Team to coordinate with respective parties 
  • Managing frontline staff including attendance and roaster, and supporting daily operations including VIP arrivals, delegation tours and any special visit delegated by the Authority; 
  • Supporting supervisor in managing monthly forecast by maintaining accurate and updated data set;
  • Providing secretarial and administrative support to the Head, Visitor Services and the team including but not limited to scheduling meetings, taking minutes, drafting correspondence, stationery and inventory management, handling claims and reimbursement, etc., to ensure a smooth daily operation of the team;
  • Maintaining systematic documentation control including both paper and electronic format;
  • Preparing presentation and regular reports for management review;
  • Liaising with internal and external parties to handle requests or queries; and
  • Supporting the team in events, training arrangement and other ad hoc tasks if required.

You should:

  • Possess a recognised degree;
  • Have 2-3 years of relevant working experience in project coordination/ providing administrative support to sizable team in hospitality, retail or tourism industry; preferably with high interest in joining arts and culture organization;
  • Demonstrate strong multi-tasking skills with meticulous attention to details and be well-organised;
  • Be self-motivated and able to work independently with good problem-solving skills;
  • Be presentable, approachable, open-minded and have can-do attitude;
  • Be required to work occasionally at weekend or public holidays if necessary;
  • Possess proficiency in Microsoft Word, Excel and PowerPoint, experience in working with CRM, ERP, Staff Rostering System is preferred; and
  • Have excellent oral and written communication skills in English and Cantonese, preferably in Putonghua.
